Job Title: RentSmart Ontario - Program Assistant

Reporting to the Community Engagement Coordinator, the Program Assistant is responsible for providing program support and administrative duties to RentSmart Ontario in accordance with prescribed policies and procedures.

Full Time 35 hours, 7 month contract (ending June 30, 2018) turning into Part Time 20 hours, 1 year contract (ending July 31, 2019)


  • Knowledge, understanding and work experience related to current housing and homelessness context in Ontario/Canada.
  • Post Secondary Education in Business Administration or other related field
  • 2 years’ experience working in an administrative capacity
  • Advanced literacy in Microsoft Office Suite
  • Superior written and verbal skills; effective communication and problem solving skills

Program Assistant:

  • Complete special projects and client support in accordance with prescribed policies and procedures
  • Support RentSmart Ontario operations by maintaining budgets, facilities, records, equipment, and building services requisitions
  • Generate correspondence, thank you letters, receipts, reports and other documents
  • Perform required program documentation, data collection, administrative duties, and exchange of relevant confidential information as necessary 
  • Triage RentSmart support calls and requests
  • Program design implementation
  • Sourcing relevant industry content and managing Website and Social Media channels
  • Create housing sector communications and resource system support for Community Educators
  • Develop and maintain agency contact and data base, and coordinate correspondence to stakeholders
  • Create reports from Participant and Program Evaluations
  • Attend and represent RentSmart Ontario at Events, Tradeshows and Workshops
  • Greet and assist visitors; answer phones, direct calls and respond to inquiries
  • Monitor and order office supplies
  • Develop and maintain agency forms and records


Additional Responsibilities:

  • Establish and maintain positive working relationships with the all RentSmart Staff (National and Provincial), Building Partners, and with all other stakeholders and partners.
  • Contribute to the preparation of grant proposals, the coordination of other special events/public relations initiatives.
  • Work with the Community Engagement Coordinator to produce and update all promotional, communication and training materials, staying within branding standards.
  • Ensure that information and documentation regarding clients and RentSmart Ontario business is kept secure and confidential.
  • Perform other duties as assigned by Community Engagement Coordinator.
Salary: TBD
Additional information:
  • A valid Ontario Driver’s License and access to a personal vehicle
  • Available to work occasional evenings and weekends as required
  • A valid criminal record check
