Position Description
A large, not-for-profit agency in the Niagara Region is seeking an experienced Social and Program Coordinator to successfully manage the day-to-day operations of its busy facility.  The successful candidate will have exceptional organizational skills, the ability to juggle multiple tasks and a passion for working with people.  If you are interested in working with great people, coordinating fun and rewarding programs in this part-time role, than we are looking for you!

Education
  • Experience Leading a Team with at least five years’ coordinating services in anadministration/management capacity within a Seniors Community
  • Administrative Assistant certification; post-secondary diploma or degree in recreation and leisure studies is an asset
  • Demonstrated oral and written communication skills and have a command of the English language.
  • Ability to work independently and manage multiple priorities in a timely manner
  • Highly organized
 

Requirements
Social Coordinator
  • Reception desk and phone duties; responding to all enquiries
  • Purchasing office and facility supplies as needed
  • Pick up mail daily; distribution and follow up
  • Maintain Bulletin board; preparation and posting of announcements, monitoring and updating
  • Preparation of all notices, signs and paperwork for support staff
  • Filing documents and correspondence; office maintenance and organization
  • Coordinate and schedule room allocations for regular meetings and special events; maintain schedule on office desk calendar
  • Meet with new facility members, provide tours to new members, visitors or investors
  • Refer all newcomers to Welcoming Committee for follow up visits
  • Preparation and updating of materials for new members; assist with the organization of a Welcome Party once a year
  • Update all databases and phone directory for new members and make changes for existing members when required
  • Act as the initial contact for contractors, Public Health Inspector, enquiries, visitors and vendors
  • Receive special program dues and monitor payments; distribute waivers and rules
Program Coordinator
  • Preparation and monitoring of the yearly desk calendar and monthly activity calendars for all programming within the facility
  • Preparation of agenda and chair all social team meetings; work with Volunteers on the team in organizing and preparing social events throughout the year
  • Preparation of all posters and tickets for special events and activities
  • Work with and monitor ticket sellers and sales for events to keep within budget
  • Arrange for set up and removal of tables and chairs for special events
  • Deposit monies earned from ticket sales
  • Preparation of cheques for caterers, entertainers and other payables for events
  • Work with each event coordinator in finding suitable entertainment and caterers and in planning of events, prepare appropriate budgets for each event and advise on such
  • Organize and oversee yearly planning of events for each upcoming year
  • Liaise with facility committee Chairs and heads of all programs and activities and assist with the required materials, posters etc.
  • Provide correspondence and contracts for social team
Security and Facilitation of Rentals
  • Distribution/signage/database entries of key book for all keys in facility
  • Update Control key card system (Smartlock) for access cards
  • Monitor all distribution of access cards and follow up when memberships expire
  • Manage facility rentals- dispense information, complete forms, obtain payment and deposit, arrange security when required, inform staff of materials, set up and clean up
  • Monitor facility access of special guests
  • Contact appropriate committee Chair in the event of an emergency alarm; security company if necessary
