Our client is seeking an experienced, detail-oriented Accounting & Administrative Coordinator to join their team.

This is a key position within the organization and an excellent opportunity for someone who thrives in a fast-paced manufacturing environment and enjoys being a trusted support to leadership. Reporting directly to the Controller, the successful candidate will play an integral role in day-to-day accounting operations, cross-border logistics coordination, and overall office support.

We are looking for someone who is professional, dependable, collaborative, and calm under pressure, values accuracy, teamwork, and accountability.

Key Responsibilities

Accounting & Finance

  • Process customer invoicing
  • Manage accounts receivable and customer follow-up
  • Process accounts payable including approvals, goods receipt verification, vendor setup, payment scheduling, and bank uploads
  • Process customer credit card payments
  • Perform monthly costing and bank reconciliations
  • Assist with month-end close and year-end audit preparation alongside the Controller
  • Coordinate U.S. tax remittances with external accountants
  • Maintain customer deposit logs
  • Complete additional reconciliations and reporting as required
  • Prepare and deliver bank deposits

Border & Logistics Coordination

  • Coordinate cross-border import and export shipments for heavy-duty vehicles and parts
  • Liaise with customs brokers and external carriers
  • Prepare Smart Border documentation and related paperwork
  • Arrange logistics with third-party transportation providers
  • Maintain and update U.S. Department of Transportation and National Highway Traffic Safety Administration documentation

Office Support

  • Support daily office operations
  • Provide backup support for incoming phone calls
  • Assist with administrative and operational projects as required

Qualifications

  • Minimum 3–5 years of experience in full-cycle accounting
  • Strong accounts payable, accounts receivable, and reconciliation experience
  • Manufacturing industry experience considered a strong asset
  • Experience with cross-border logistics/import-export coordination
  • Proficiency with Sage 50 required
  • Experience with Priority ERP
  • Strong attention to detail and organizational skills
  • Excellent communication and problem-solving abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional, team-oriented, and adaptable mindset
