We’re seeking a sharp, engaging and entrepreneurial Specialty Leasing and HR Coordinator to help us identify unique retail leasing prospects, generate revenue, and develop a collaborative team. This unique role combines attention to detail, creativity, great organizational skills, and the ability to communicate clearly with the goal to create value for multiple stakeholders. 

Specialty Leasing

  • Primary responsibility includes the ongoing leasing of the common area RMUs, temporary kiosks, and temporary inline/pop-up stores in order to achieve the center’s specialty leasing income, ancillary income, and occupancy goals.
  • Identify new and unique prospects for the specialty leasing program and/or permanent leasing and generate alternative revenue through ancillary income opportunities
  • Plan, organize, and coordinate various Vendor Shows throughout the year
  • Prepare and distribute all documentation including Temporary License and Temporary Rental Agreements accurately detailing Lease Commencement dates, fixturing periods, rents, deposits, insurance, store openings, and contact information and distribute same to all relevant personnel and departments.
  • Coordination of Tenant openings and closings, the tenant moves, and notifying the appropriate internal groups to ensure smooth operation.
  • Identify and contact potential vendors to introduce opportunities to lease commercial space at the property including actively spending time prospecting potential new tenants.
  • Ensure that files and databases are kept up to date with respect to tenant files, documents returned, expiry dates, etc., and current and potential tenants for specialty leasing and permanent lease prospects.
  • Liaise with all potential leasing tenants to ensure a customer-friendly and positive experience in their dealings with the Company.

HR Coordinator

  • Work with hiring managers to plan, develop and implement the recruitment strategy for vacant positions including job profiles, interviewing candidates, conducting reference checks, and preparing and presenting offer letters
  • Process, verify, and maintain personnel-related documentation, including certifications and training
  • Maintain all employee handbooks and personnel policies and procedures
  • Management Representative on Joint Health and Safety Committee
  • Builds positive relationships and provides Human Resources support to management and employees to ensure consistent application and integration of policies, procedures, and practices

Qualifications and Requirements

  • Post-secondary education in business administration, HR, or equivalent experience
  • Previous transaction experience in commercial real estate within the retail industry with deal experience
  • Previous HR experience, knowledge of employment legislation
  • Strong organizational and interpersonal skills with attention to detail
  • Excellent presentation and negotiation skills, local area knowledge, excellent written and verbal communication skills
  • Technical proficiency with database systems and MS office software (e.g., Outlook, Excel, Word, PowerPoint).
  • Self-starter and self-motivated
  • Willingness to work the occasional evening or weekend as required for special events
  • A valid Ontario Driver’s license and daily access to a car
  • A positive winning attitude
